Encryption
Every connection encrypted
Outlook, smartphones and browsers talk to Mailoplex only over encrypted connections. Emails to other servers are also sent encrypted whenever the other side supports it.
- TLS for Outlook, ActiveSync, IMAP, SMTP and webmail
- Dedicated certificate for your domain’s Outlook setup
- Certificates are renewed automatically
Received: from mail.mailoplex.com with ESMTPS (TLS1.3) DKIM-Signature: v=1; a=rsa-sha256; d=your-company.com; s=orv1; Authentication-Results: spf=pass smtp.mailfrom=your-company.com; dkim=pass header.d=your-company.com; dmarc=pass (p=quarantine)
Sender protection
SPF, DKIM and DMARC from day one
We set up the three protection records for your domain. They let recipients recognise that an email really comes from you. Your emails end up in spam less often, and fraudsters find it harder to fake your address.
- SPF: which servers may send on your behalf
- DKIM: digital signature on every outgoing email
- DMARC: what recipients should do with forged emails
- Continuous DNS record check in the admin console

Spam and abuse
Protection in both directions
Incoming emails pass through a spam filter. Outgoing, a sending limit per mailbox limits the damage if a password falls into the wrong hands.
- Spam filter for incoming emails
- Sending limit per mailbox against abuse
- Lockout after repeated failed sign-ins
- External images stay blocked until you allow them

Backup
Backed up every night, kept for a year
All mailboxes, calendars and settings are backed up every day. The backup is encrypted and stored separately from the mail server.
Versions from the last seven days
Versions from the last four weeks
Versions from the last twelve months
- Encrypted with AES-256 before the data leaves the server
- Separate storage location, so a server failure doesn’t affect the backup
- Restoring a complete mailbox is tested regularly
- You can usually restore individual deleted emails yourself from “Deleted Items”
Admin console
Anyone making changes signs in twice
Managing mailboxes and domains is specially protected.

Strict separation of customersEvery request is checked on the server. No customer sees another customer’s data.

Privacy
GDPR without detours
Emails contain personal data. That is why we process them on your behalf under Art. 28 GDPR and conclude a data processing agreement with you.
We don’t analyse your content, show no advertising and don’t pass on any data. Only our own operations team has access to our servers.
